Canton Fair 140th: A Buyer's Pre-Trip Checklist (Oct 15–Nov 4, 2026)

Before you leave for the Canton Fair, have five things ready: the right phase for your products, confirmed registration and travel documents, accommodation and transport arrangements, a consistent supplier comparison sheet, and written verification and payment boundaries. Pick your phase before you book flights

Write down your main product, intended use, and adjacent categories. A furniture buyer sourcing integrated lighting should check where each product is listed before choosing dates.

The 10-item pre-trip checklist

1. Registration

Use the official buyer service channel and save your confirmation offline. Check what remains necessary to collect or activate your badge. Submission alone should not be treated as confirmed admission; verify your application status.

2. Invitation letter

Check whether your travel arrangements require an invitation and request it through the appropriate official channel. Match your identity details carefully. An invitation does not establish entry permission; verify applicable travel requirements separately.

3. Hotel and transport

Confirm the hotel’s address, cancellation terms, and route to Pazhou. Save the address in Chinese and English. Treat journey estimates as assumptions: traffic, shuttle arrangements, and transport availability need checking closer to departure.

4. Interpreter

Share your specification and terminology beforehand. Agree on availability, fees, and confidentiality. Ask the interpreter to distinguish the supplier’s statement from their own interpretation, and obtain written confirmation of important technical answers.

5. Business cards

Prepare cards with your name, company, email, and purchasing role, plus an offline digital version. Provide enough context for a relevant quotation. Verify the recipient before sharing sensitive drawings or customer information.

6. Sample bag

Bring labels and a manageable bag. Connect every sample to its supplier and product reference. Ask permission before taking samples or photographs, and check carrier and customs requirements before transporting unfamiliar materials.

7. Comparison sheet

Use the same fields at every meeting. This original blank record is a working template, not a dataset of tested suppliers:

Include currency, unit, specification, packaging, delivery term, and quote validity alongside price. Mark certification claims unverified until checked. Empty fields remain unknown; never complete them from assumptions.

8. Factory-audit questions

Ask about the manufacturing address, in-house processes, subcontracting, inspection records, and sample traceability. Establish what evidence could support a later factory visit. Booth answers are leads to investigate, not proof of production capability.

9. Payment boundaries

Define what needs checking before payment: the contracting entity, beneficiary, specification, and acceptance conditions. Decide who can approve exceptions. A fair meeting cannot resolve every payment risk; investigate unexplained identity or account discrepancies.

10. Itinerary backup

Save meeting contacts, booking confirmations, addresses, and your product brief offline. Allow room for missed appointments and further questions. Confirm appointments and the actual factory address before travelling to a supplier’s premises.

At the fair: 3 verification moves

Match the booth number to the company name. Compare the displayed name with the exhibitor listing and business card. Ask about differences between the exhibitor, manufacturer, and proposed contracting entity. Matching names alone do not verify ownership or capability.

Collect a card and photograph the product nameplate. With permission, capture model identifiers and connect the image to your comparison row. A photograph records what was displayed; it cannot authenticate certification or establish what production goods will contain.

Record MOQ and lead time immediately. Ask whether the minimum applies per order, model, colour, or packaging option. Establish when the production clock starts and whether it ends at completion or dispatch. Request written confirmation before relying on either answer.

Send shortlisted contacts the same specification and a summary of your conversation. Request a written quotation, missing information, and documents supporting relevant claims. Identify the exact sample or model discussed.

Separate confirmed terms from unanswered questions. Align specifications, packaging, quantities, and delivery terms before comparing offers. A fast reply is useful, but remaining evidence gaps still require verification.
