Yiwu Commodities Events: Supplier Follow-Up Checklist

Turn a Yiwu event supplier conversation into a traceable record with source checks, one owner, a deadline, and proceed-hold-close rules.

At a Yiwu commodities event, convert each supplier conversation into one record that separates observations, supplier statements, received material, and verified findings. Anchor it to the official event context, then assign one verification task with a named owner, deadline, source, and decision rule. The resulting record controls the next step; it does not prove supplier identity, manufacturing capability, product compliance, document validity, or commercial suitability.

Define a controlled next-step record

A controlled next-step record is a structured handoff from an event conversation to one reviewable verification task. It preserves what happened without allowing an oral claim, booth display, business card, or platform result to acquire a broader meaning than the evidence supports.

Keep these four information classes separate:

  1. Observed: What the buyer personally saw, such as booth signage, a displayed sample, packaging, or a product demonstration.
  2. Supplier-stated: What a contact claimed during the conversation. Record the speaker and date, but do not treat the claim as verified.
  3. Documented: Files, photographs, links, cards, catalogues, sample labels, or other material received and tied to the conversation.
  4. Verified: Information checked against a named source on a recorded date, within that source’s stated scope.

The ISO guidance on documented information supports a recordkeeping approach in which documented information is identified, described, maintained in a suitable medium, and kept available and usable. Applied to event follow-up, the record should:

  • Use a consistent ID, title, date, creator, and supplier reference.
  • Retain enough detail to show what occurred and why a next action was chosen.
  • Use an appropriate medium, whether a spreadsheet, database, form, or document.
  • Remain readable, retrievable, and connected to its supporting material.
  • Preserve earlier information when findings or interpretations change.

This workflow is informed by ISO guidance. It does not establish ISO conformity, certification, or approval of the buyer’s process.

Every completed verification task should produce one decision:

  • Proceed: The predefined verification condition was met.
  • Hold: Evidence is missing, inconsistent, inconclusive, or outside the available source’s scope.
  • Close: The lead does not meet the buyer’s predefined follow-up condition.

Anchor the conversation to the Yiwu event context

Before evaluating supplier statements, identify where and when the conversation occurred. This prevents notes from different booths, contacts, or event visits from being combined accidentally.

Capture:

  • Official event name as displayed by the organizer.
  • Event edition or year, if shown on the current official page.
  • Date and location of the conversation.
  • Hall, zone, booth, or stand reference observed by the buyer.
  • Contact name and role exactly as stated.
  • Telephone number, email address, messaging ID, and other details exactly as provided.
  • Record creator and creation date.

Use the Yiwu Fair official introduction only to check event information published on that page. For each check, preserve:

  • Page title.
  • Exact URL.
  • Displayed publication, update, event, or edition date, if present.
  • Buyer’s access date.
  • Screenshot or saved excerpt where the record system permits it.

Do not infer from event participation that a business manufactures the displayed product, has a particular capacity, holds a certification, meets destination-market requirements, or is suitable for an order. A booth reference helps relocate or distinguish a conversation. It is not complete supplier verification.

Practical verification checklist

Use this checklist to turn the conversation into a bounded pre-sourcing task. “Proceed” means only that the stated check passed; it does not approve the supplier or product for an order.

Compact field checklist

Convert broad follow-up into one verification task

Use this structure:

Verify whether [specific recorded detail] matches [named source or evidence] by [deadline], so that [buyer decision] can be marked proceed, hold, or close.

Replace broad instructions with bounded work:

  • Avoid: “Research this supplier.”
  • Prefer: “Check whether the company name and product reference in record YW-024 match a Yiwugo page by 16:00 on the assigned review date; retain the displayed business name, exact URL, and access date.”

The preferred version identifies the fields to compare, the source, the deadline, the evidence to preserve, and the resulting decision. It does not imply that a platform match establishes legitimacy or manufacturing capability.

Keep each task within the source’s role:

  • Yiwu Fair official introduction: Official context for the event information presented on that page.
  • Yiwugo: Platform-level information displayed for a listing or business record when checked.
  • Supplier-provided material: Evidence of what the supplier supplied or stated, pending any additional verification required by the buyer.

Do not substitute one source for another. An event introduction cannot verify an item-specific supplier claim. A Yiwugo result cannot establish facts that the relevant page does not display. A supplier document shows what was provided, but its receipt alone does not verify its contents or validity.

This table illustrates a record format. It is not evidence about a real supplier, product, booth, or event participant.

Preserve changes and make the decision traceable

Retain the original conversation note. Do not replace it with a corrected spelling, later interpretation, or verification result. Add corrections and findings as dated entries so a reviewer can distinguish the original information from later work.

Include these control fields:

  • Record creator.
  • Creation date.
  • Last reviewer.
  • Review date.
  • Version or revision indicator.
  • Change summary.
  • Linked evidence references.
  • Previous status.
  • New status.
  • Reason for the status change.

Require a stated reason whenever information moves from supplier-stated to verified. The reason should identify the source, check date, compared fields, and evidence reference. “Confirmed online” is insufficient because it does not identify what was checked or what the source could establish.

There is a practical tradeoff. Too little structure makes similar conversations difficult to distinguish and decisions hard to review. Excessive fields slow event capture and can produce partially completed records. Use a two-stage workflow:

  1. At the event: Capture identity, context, exact claims, product reference, and received evidence.
  2. After the event: Complete the assigned source check, record the result, and select the next action.

End each record with one immediate action only:

  • Request a missing reference.
  • Perform the defined source check.
  • Review a documented discrepancy.
  • Close the lead under a predefined rule.

Before publication or operational use, reopen all three sources, confirm that their URLs resolve, and record the dates and scope displayed at that time. Remove or qualify details that the current pages no longer support.

Scope and limits

This checklist is limited to converting a Yiwu commodities event conversation into a controlled verification record during pre-sourcing research. It does not determine:

  • Supplier legitimacy, ownership, performance, capacity, or manufacturing status.
  • Product quality, safety, compliance, or suitability.
  • Whether a certification or supplier document is genuine or valid.
  • Prices, minimum order quantities, payment terms, lead times, or market conditions.
  • Legal, customs, tax, import, or destination-market requirements.

A matching Yiwugo result shows what the platform displayed when checked; its evidentiary scope should not be expanded. The Yiwu Fair introduction supports event context only within the information it publishes. The ISO documented-information guidance informs the recordkeeping method but does not certify the buyer’s workflow.

Sourcing information earns its value when it is verified, compared and turned into a decision.
